Authentication Unit document requirements

The Authentication Unit will accept these documents if you send the original document. You can order an original certificate by phone, online or by post. If you order by phone, tell the person that you need it authenticated or apostilled — you do not need to fill in a form. If you order by post, send the certificate order form and the authentication/apostille form to the address on the authentication/apostille form — the Authentication Unit will get the certificate printed and authenticated or apostilled. If you need an NZ certificate of no impediment to marriage as well as a replacement birth certificate, send both your application forms to the address on the certificate of no impediment to marriage form. |
New Zealand passport |
The Authentication Unit will accept a copy of your passport that has been notarised by an NZ notary public, or you can courier your original passport to the Authentication Unit so they can ask the Passports Office to make a certified copy — this can take an extra 5 working days. You need to pay for a courier bag so the Authentication Unit can send it back to you with the authenticated documents. |

Translations
If you need to get your documents translated, the Department of Internal Affairs can do the translation as part of your application or you can organise your own translation.
If you organise your own translation, you need to get it notarised by a New Zealand notary public.
Getting a document notarised
If you need to get your document notarised, you must use a New Zealand notary public.
Find a notary public in New Zealand
Tell them that your document is being notarised for an apostille or authentication.
Do not get it certified by a justice of the peace or a solicitor — it will not be able to be apostilled or authenticated.
What the notary public needs to do
The notary public must:
- make a statement that describes what they have done, for example ‘witnessed a signature’ or ‘certified a true copy’ — this is called a Notarial Act
- include their name and signature
- add their seal or stamp
- state the date and place, and
- make it clear they have seen all the pages in a document.
